This email is to inform you that job registration for the 2025-2026 Academic Year will open to all students on Thursday, 10/2/25 at 11am.

I-9 Form Requirements

If you have not held a job with Vassar College before, please be aware that if you are hired, you will need to complete an I-9 form before working. The I-9 can be printed here or picked up in our office (Baldwin 300). Students who have worked for Vassar previously do not need to complete another I-9.

To complete the I-9, you must have received a job offer and you must bring original, unexpired documents to establish your identity to our office for validation. Copies cannot be accepted. A list of acceptable documents can be found here.

Walk-in hours to complete I-9s are MWF, 1-4pm in Baldwin 300. To request an appointment outside these hours, please submit this form.

NEW THIS YEAR: Easily track your hours in Workday!

Individual schedules vary and are agreed upon by each student employee and their respective supervisor. Schedules are typically designed to meet the department’s needs as well as the student’s academic commitments.

As a general guideline, students may work up to 120 hours per semester. Exceptions may apply for positions whose funding is provided by individual departments. Due to legal limitations, no student may work more than 20 hours per week during periods while classes are in session. Students are responsible for tracking their hours in Workday. For assistance using the new Student Employee Work Study Hours report in Workday, please email us at stuemp@vassar.edu.

Students are not limited to 8 hours per week, provided their schedule will not result in exceeding 120 hours in a semester; for consistent tracking, however, students and supervisors may consider a scheduling guideline of 8 hours per week.

If a student regularly exceeds 8 weekly hours or 120 hours per semester, SEO will alert the department, and the department will be able to decide whether that job will end early (an end date earlier than the end of the Academic Year) or whether they would like to fund the job from their department budget through the end of the Academic Year. If a job ends early, that job will not be reposted to be re-filled by another student.

Questions about the hiring process?
